A five-minute fit assessment

Run these questions before you build, and write the answers down to reuse later. Volume: roughly how many documents would the wiki cover? Under ~300 is a strong signal. Repetition: name three questions your team asks more than once a month. Pain: what does a wrong or slow answer cost?

Write your one-page charter

Bring the pieces together onto a single page — if it doesn't fit, your scope is too big, so cut until it does. The charter names the domain the wiki covers and why it exists.

Confirm your scope is ready to build on

  • The domain is a body of recurring questions, not a department.
  • You can name 5–15 real questions in your readers' own words.
  • Each question has a named cost when the answer is wrong or slow.
  • Your source list is finite, owned, dated, and text-extractable.
  • You wrote an explicit "out of scope" list.
  • You chose 2–3 success signals you will actually track.
  • The whole charter fits on one page and has an owner and a date. If any box is unchecked, resolve it before moving on.

Build the structure and draft the schema

Do this against your real charter, not a hypothetical. Create the raw/, wiki/, and wiki/sources/ folders. Add four anchor files as empty markdown: index.md, log.md, overview.md, glossary.md. Then seed the glossary with the eight to twelve terms that keep appearing in your recurring questions.

The two anchor files that keep the base honest

  • Index.md is the table of contents for the whole base — a flat list of every page with a one-line description.
  • Log.md is the changelog. Every ingestion and recompile gets a dated line: what came in, which pages it touched. This is your audit trail and your debugging tool when a page drifts.
  • Overview.md is the synthesis layer — the paragraph or two that answers "what does this whole base actually say?" It is the page that changes most as the base grows.
  • Glossary.md does double duty: it defines domain terms so pages use them consistently, and it carries naming conventions so the AI does not improvise.
  • Sources/ holds one summary file per document in raw/. This is the bridge between a raw transcript and the concept pages it feeds — one place to see what a single source.
