A quick audit of your current habit

The choice-that-matters checklist

  • Create the account and grant the core permission. A bot app asks to connect your calendar; an always-on assistant asks for microphone access; a wearable pairs over Bluetooth to its.
  • Connect your calendar. This is the single highest-value step for a bot-in-the-meeting tool. Once linked, it can auto-join scheduled calls so you never have to remember to start it.
  • Connect your conferencing tools. Authorize Zoom, Meet, or Teams so the bot has permission to enter your calls. You typically do this once per platform.
  • Set your default output. Choose a summary template (to-dos, minutes, or a brief) and pick where results get sent — a Slack channel, an email, a Notion or Google Doc.
  • Run one throwaway test. Record a two-minute conversation with yourself or a colleague and read what comes back.

Match the capture method to where you talk

Most recordable moments fall into one of three settings, each served best by a different tool. For scheduled video calls (Zoom, Google Meet, Microsoft Teams), a bot-in-the-meeting app is the natural fit: it joins as a visible participant, records the audio directly, and posts a summary afterward.

Practice
